QC FIELD — TERMS OF USE & PRIVACY POLICY
Last updated: September 26, 2026
1. What QC Field is
QC Field is a documentation tool for field technicians. It helps you photograph your work by stage,
build report emails, and keep a personal log of your production. It is provided by J&R Energy
Solutions LLC (Florida, USA) ("we", "us").
2. Independence
QC Field is an independent tool. It is not affiliated with, endorsed by, sponsored by, or
connected to any cable operator, telecommunications company, or contracting company. Any product or
company names that may appear in your own data belong to their respective owners.
3. Your responsibilities
- You are responsible for complying with your own company's policies and agreements regarding
the handling of customer information, photos, and work data. QC Field does not grant you any
authorization to collect or process customer data — that authorization must come from your own
working relationship.
- You are responsible for the accuracy of the reports you send and for choosing their recipients.
- You enter your own pay rates. All earnings figures are estimates for your personal reference
only — they are not a promise, guarantee, or statement of what you will be paid. Your pay is
governed exclusively by your agreement with your company.
4. Where your data lives (Privacy Policy)
- Everything you create in QC Field — job data, photos, notes, earnings, expenses — is stored only
on your device (in your browser's local storage). No server of ours receives, stores, or can
access your job data, with one optional exception you control: the street-address lookup described
under "Mileage estimate" below.
- Activation: the app requires an activation code. To verify it, your device contacts our
server sending only: your code, a random install identifier, timestamps, and your device's browser
identification string — never job data, customer information, photos, or earnings. The check repeats
in the background (at most every few hours while online) so a paused or removed code stops new work;
your data stays on the phone either way.
- Dictation in notes, optional: every note field has a microphone. When you hold it, the
browser sends the audio to Google's speech service to turn it into words — that is how
dictation works in Chrome; it does not happen on the phone, and it is the same service the phone's
own keyboard microphone uses. QC Field does not record or keep the audio: only the text comes back,
and it stays on your phone with the job. Do not dictate anything about a customer you would not put
in writing. You are asked once before the first use and you can turn it off in Settings → Access
& Security; typing always works instead.
- Radio (voice notes), optional: the app asks for the microphone once, when you open Radio;
you can refuse, and refusing only disables Radio. If you turn Radio on, the clips you record are sent to
and stored on our server so the other members of the channel can play them back, together with
your name, your activation code and the time. Anyone in that channel can hear, and their owner can
delete, any clip in it. Clips are deleted automatically after 30 days (or sooner: only the
last 200 per channel are kept), and immediately when you or the channel owner delete them, or when
the channel is deleted. Clips you have played are also cached on your phone so they replay without
signal. Do not record customers or anyone who has not agreed to being recorded, and do not read
customer names, addresses or account numbers out loud: recording other people without their consent
may be illegal where you work — in Florida, recording a private conversation generally requires the
consent of everyone in it. You are responsible for what you record and send. Turn Radio off by
leaving or deleting your channels; we do not enable it for you.
- Team messages: announcements posted by the team owner are fetched by the app using your
activation token; only the message text travels back. Nothing about you is sent to fetch them.
- Storage health diagnostics ("black box"): to detect and explain data loss, the app keeps a
small technical log on your device and, unless you turn it off in Settings → Access & Security →
Diagnostics, sends it to our server a few times a day. It contains only counts and flags: how many
jobs, photos and entries exist, storage space used, whether the phone granted persistent storage, app
and browser version, screen mode, timestamps of technical events (app opened, updated, closed by the
system), error names, and which of the app's own markers survived a wipe. Email-like strings and
long numbers are removed from error messages before they leave your phone. If you use "Report a
problem", the text you type is sent with it — do not type customer information there. Never sent:
job data, customer names or addresses, photos, notes, earnings amounts, pay rates, or your email
addresses.
- App lock (PIN), optional: you may set a 4–6 digit PIN and choose how often the app asks
for it (every launch, after 1 hour idle, after 8 hours idle). It is off unless you turn it on. Only
a salted hash of the PIN is kept on your phone; it never leaves the device and we cannot read or
recover it — if you forget it, your activation code resets it. The PIN keeps other people out of the
app on an unlocked phone; it does not by itself encrypt the stored data (your backup files are
encrypted separately).
- Built-in mirror: to survive a database wipe, the app keeps a second copy of your records
(and recent photos) in other storage areas of the same browser on your phone. It never leaves the
device. Clearing the site's data removes the mirror too.
- Backup files (checkpoints): once a day the app offers to save a backup file, and you choose
where it goes through your phone's share sheet (Google Drive, Files, email, …) — it contains your
jobs, photos, notes, earnings, expenses and settings, encrypted with your activation code
(AES-256; without the code the file is unreadable). Wherever you put it, the file is then held by
that service under its own terms — we never receive it. Keep every checkpoint file: each one carries
the photos taken since the previous one.
- Job locations and the Map (optional, off by default): if you turn it on, QC Field asks the
phone for your position when you create a job and saves those coordinates with the job, on your
phone. They are never sent to us, they are not in the diagnostics, and they travel only inside
your own encrypted backup files. You can add, update or remove the pin on any job by hand. The Map
tab draws those pins over map images from Esri's public basemaps (street and satellite, which
credit Esri, HERE, Garmin, Maxar and OpenStreetMap contributors): their servers see the approximate
area you are looking at (and your IP), never your jobs, your pins or your position. Images already
seen are kept on the phone so the map also opens without signal. Turning it off stops new pins;
existing ones stay until you remove them. Remember this records where you were while working:
if the phone is managed by your company, assume they could reach it.
- Start address and mileage (optional): if you set where your day starts — normally your
home — that point is stored on your phone with your other settings and used to measure the
drive to your first job and back from your last one. It is never sent to us. If you set it by typing
an address instead of using your current position, that address is looked up the same way as the
mileage estimate below. Mileage figures are straight-line distances multiplied by 1.25: an estimate
for your own records, not a GPS odometer, and not tax advice — check them before you rely on them.
- Mileage estimate (optional, off by default): if you turn it on in Settings → Access &
Security → Privacy, the Calendar's day view sends the street address of each job on that day
(nothing else — no customer name, job number, photos or notes) to our server, which forwards it to
OpenStreetMap's Nominatim geocoder (© OpenStreetMap contributors, under the OpenStreetMap Foundation's
privacy policy) to get coordinates for a straight-line distance. Our server does not store the
address; it only counts lookups per install to prevent abuse. Coordinates are cached on your phone
so each address is looked up once. Turn it off at any time; nothing further is sent.
- Automatic Send relay: if you set up the optional Google Apps Script relay, the app stores in
your own Google account a private key it generates and the list of email addresses in your email
book (so the relay only mails those addresses). When you test the connection, our server may check
your relay's deployment settings by calling its address with a dummy key — your real key never leaves
your phone.
- Email: support@qcfield.com is routed through Cloudflare Email Routing to our mailbox;
Cloudflare acts as our service provider for that delivery.
- Access requests and support: if you use the "Request access" or "Contact support" form, we
receive what you type — your name, mobile number, email address, technician number, the company you
contract with and county you work in (if you give them), who referred you, and your message — plus
your app's random install identifier, app version, the time you agreed to these terms, and a hashed
form of your IP address kept only as proof of consent. We use this information solely to confirm you
are a working technician, to create and send your activation code, to answer your request, and, if
you later purchase a subscription, to set up your billing. The form is processed by our hosting
provider, Netlify (Netlify Forms, which filters spam through Akismet), and stored in our Netlify
account; Netlify and Akismet act as our service providers and may see the submitted data. We may
contact you by text message, phone call, or email about your request — message and data rates may
apply; reply STOP to any text to stop texts. We do not sell this information, do not use it for
advertising, and do not add you to a marketing list without a separate opt-in. We keep request
records no longer than 12 months after your request is closed, or for as long as your license is
active, and then delete them. To see, correct, or delete your information, email
support@qcfield.com.
- When you send a report, it goes out through your own email account (via your share sheet or
a Google Apps Script you deploy in your own Google account). Sent reports live in your email account
under Google's terms, not ours.
- Third-party services your device contacts to make the app work: our hosting provider (Netlify)
serves the app files and keeps standard access logs; the OCR library (Tesseract.js) and fonts load
from public CDNs (jsDelivr, Google Fonts), which see your IP address like any website resource. None
of your job data is sent to any of these.
- If your phone is managed by an employer (work profile / MDM), your employer's administrator may be
able to inventory or wipe the app and its data. Deleting the app or clearing browser data deletes
everything stored in it.
- The app strips photo metadata (EXIF/GPS) when it compresses photos.
5. Data loss
Because everything is stored only on your device, we cannot recover your data if your device is
lost, wiped, reset, or its storage is cleared. Send your reports promptly — your sent email is your
durable record — and save the daily checkpoint file to a place outside the phone. The app asks the
browser for persistent storage and keeps a built-in mirror, but no phone storage is guaranteed.
6. No warranty; limitation of liability
QC Field is provided "as is" and "as available", without warranties of any kind, express or
implied, including merchantability, fitness for a particular purpose, and non-infringement. To the
maximum extent permitted by law, J&R Energy Solutions LLC shall not be liable for any indirect,
incidental, special, consequential, or punitive damages, or any loss of data, pay, work, or business
opportunity, arising from or related to the app. Our total liability for any claim shall not exceed
the amount you paid us for the app in the twelve months before the claim (or $10 if you paid nothing).
7. Indemnification
You agree to defend and hold harmless J&R Energy Solutions LLC from claims arising out of your use
of the app, including your handling of customer information or your violation of your own agreements.
8. License
We grant you a personal, non-transferable, revocable license to use QC Field. You may not resell,
copy, or redistribute it. The app and its code are © J&R Energy Solutions LLC. QC Field uses
open-source components: Tesseract.js (Apache License 2.0) and the IBM Plex Sans font (SIL Open Font
License) — we thank their authors.
9. Changes; termination
We may update the app and these terms; material changes will be shown in the app. We may suspend the
service for abuse. You can stop using the app at any time — your data stays on your device until you
delete it.
10. Governing law; disputes
These terms are governed by the laws of the State of Florida, USA. Any dispute shall be resolved by
binding individual arbitration in Florida under the rules of the American Arbitration Association;
you and we each waive any right to a class action. The app is offered to users in the United States
only.
